For HR, Recruiting & People Teams

Collect documents from candidates and new hires
without accounts.

What tools let HR securely request and collect files from candidates or employees who do not have an account?

FileCourier lets HR send a candidate or employee a secure upload link by email or text message. They upload from any phone or computer without creating an account. HR sees who has uploaded, opens files in a dashboard or receives them by webhook, and FileCourier deletes each file when the retention period you set ends.

How it works for HR

From offer letter to first day, without anyone creating a login.

1

Request

Create a request in the dashboard, or let your HR system create one through the API. List the documents you need.

2

Notify

FileCourier sends the candidate or new hire a secure upload link by email or text message, with your logo on the upload page.

3

Upload

They upload from a phone or computer. No account, no password, no app. You can require a one-time passcode first.

4

Receive

See who has uploaded and who has not. Open files in the dashboard or receive them by webhook. Each file is deleted when your retention period ends.

Which documents HR teams collect

Any file your team needs from someone outside your systems. Common examples:

📄

Résumés and references

From candidates during recruiting, without asking them to join a portal.

🪪

Identification copies

Copies of identification your onboarding process asks for, kept only for your retention period.

🏦

Direct deposit forms

Banking details uploaded through a secure link instead of sent as an email attachment.

✍️

Signed offer letters

Signed and scanned, or photographed, and returned from any device.

🧾

Tax forms

Completed tax forms from new hires and contractors before their first pay date.

🎓

Certifications

Licenses, certificates and training records a role requires.

What you control

Retention

A Workspace Admin sets how long documents are kept, from 5 minutes up to 72 hours, counted from upload. New workspaces start at 24 hours. When the period ends, FileCourier deletes the files automatically.

Passcode

Turn on a passcode for a project, and every upload link in it asks for a 6 digit one-time code, sent to the email address or phone number the request went to.

Who can open files

Only named users of your workspace, as a Workspace Admin, a Developer or a Reviewer. A Reviewer can create requests and open documents, but cannot cancel requests or delete documents. Each request keeps an access record of who opened each file, when, and from which IP address.

Multi-factor sign-in

Your team can sign in with multi-factor authentication, using a code from an authenticator app, and a Workspace Admin can require it for everyone in the workspace.

Audit log

Workspace Admins can search an audit log of who did what, and when, across requests, documents, team, projects, settings and billing, with the IP address of the person who caused each entry.

What FileCourier does not do

FileCourier collects and delivers files. It does not verify documents and does not make an employer compliant with any law, including Form I-9 rules.

Frequently asked questions

Do candidates or new hires need an account to upload?

No. They open the secure link from your email or text message and upload from any phone or computer. They create no account, choose no password and install no app. If you require a passcode, they first enter a one-time code sent to the same email address or phone number.

How long does FileCourier keep the files?

For the retention period a Workspace Admin sets, from 5 minutes up to 72 hours, counted from upload. New workspaces start at 24 hours. When the period ends, FileCourier deletes each file automatically, whether or not anyone downloaded it, so personal documents do not sit in storage.

Can I require a code before someone uploads?

Yes. A Workspace Admin can turn on a passcode for a project. Before seeing the request or uploading, the candidate or new hire must enter a 6 digit one-time code that FileCourier sends to the email address or phone number the request was sent to.

Who on my team can open the files?

Only named, signed-in users of your workspace: Workspace Admins, Developers and Reviewers. A Reviewer can create requests and open documents but cannot delete them. Each open is recorded, and a Workspace Admin can search an audit log of who did what, when, and from which IP address.

Does FileCourier verify documents or handle Form I-9?

No. FileCourier collects and delivers files. It does not check that a document is genuine, complete or correct, and it does not make an employer compliant with any law, including Form I-9 rules. Your team reviews every document and remains responsible for its own obligations.

Can our HR system send requests automatically?

Yes. Your HR system can create a request with one API call, for example when a candidate accepts an offer. When the upload completes, FileCourier sends a webhook with a short-lived download link for each file, or your team opens the files in the dashboard.

How much does FileCourier cost?

FileCourier costs $95 a month for one plan with unlimited requests and unlimited users. New accounts start with a 14-day free trial. Your card is collected at signup and charged when the trial ends, unless you cancel first, and you can cancel anytime.
